The order below is the order to do it for a new program: program → terms → funding source → fees → status list → yearly funding.


1. Programs (Program Setup)

Each program is a row: name (what users pick — SFR – Loan, Mobile Home Grant, ADU/JADU), program type (the family it belongs to — HIP/rehab today; FTHB and Multifamily when they arrive), a short folder abbreviation (≤ 10 characters — "The abbreviated folder name must be 10 characters or fewer"), and its documents (Open Documents jumps to the template registry for that program, ▸ B-7). Two folder locations are set here for the agency: the Project Folder TEMPLATE location (legacy) and the Project Folder STORAGE location (where project folders are created — ▸ B-8); you'll be asked "Do you want to UPDATE/CHANGE…?" before either changes.

Two document requirements also live on the program row and show on its card: Paystubs required (a number plus Stubs or Months — always consecutive) and Bank statements required (a count of consecutive statements, which is also the deposit-averaging window). Leave either blank to use the agency default (▸ B-4). They drive the Document Checklist (▸ B-5a).

2. Program Terms

A terms row is a product an applicant can receive: label (Loan – 30 Year 3 % Interest, Grant – Five Year Forgiveness), funding type (loan / grant / deferred), interest rate (fraction — 0.03), interest term and term of funding (months; blank/~ = no maturity), forgiveness frequency for principal and interest, deferral / extension available, and its IDIS codes (IDIS Codes button ▸ B-12). Picking terms on a project copies these values onto it (▸ C-8), so changing a term here affects future projects only.

3. Funding Sources

Rows for CDBG, HOME, local/PLHA/… with their reporting attributes. The funding source drives which document set merges at closing (templates are registered per program × funding source, ▸ B-7) and how IDIS treats the activity. Funding (button) opens the yearly allocations.

4. Fee schedule (Escrow / Fees Setup)

The list of closing costs a project can carry — description, default amount, payee, whether it prints on documents, and its order (▲▼). Projects copy the list at setup; staff then set Docs?/amounts per project (▸ C-15). Add Letter attaches the fee letter template. Slot conventions matter to the documents: slot 9 = termite, slot 10 = contingency — don't reorder those two.

5. Status checklist template (Status Responsibility)

Pick the program in the header; HousingOS inserts the standard status rows for that program type that aren't there yet (from the master list). For each row set the default Responsible Party (initials fill in) and any notes. This template is copied onto each project when its program is chosen; existing projects are not changed by later edits (they keep their own snapshot — ▸ C-8).

6. Yearly program funding (Program Funds)

For each contract year enter the allocation per program/funding source; the dashboard's Program Funding by Fiscal Year card and the Remaining figures read it. "Please select a contract year…" — pick the year first. This is the Jul 1 – New Fiscal Year reminder item (▸ B-14).

Watch-outs

  • Rates are fractions everywhere (0.03, not 3).
  • Deleting a term or funding source that projects use breaks their documents; retire by renaming ("– OLD") instead.
  • Program type is what templates, folder structures and status masters key on; the program name is what users see. Adding a program of an existing type inherits everything.
  • Fees and status lists are copied per project — fix a project's copy on the project, fix the template here for the future.
