C-20 · Comments and the Project Log

Book C — Daily User Guide · Part 6 Documents & Communication · draft v1 (2026-08-29)

Who: everyone Where: APPLICATION ▸ App HOME, the Project Messages list at the foot of Applicant Data (📷 C08-00a ✅); and the Report Comments box above it.

What you'll end up with

A dated, attributed history of everything that happened on the project — your own notes plus the entries HousingOS writes automatically (letters produced, emails sent, status changes, portal imports, inspections scheduled) — filterable, printable, and never silently lost.

Part A — Reading the log

  1. Scroll to Project Messages on App HOME. Each entry shows Date and Time, Entered By and the Message, with a delete, edit and open-document icon under each. Automatic entries are marked Automated and come from the buttons you press elsewhere ("Employment verification mailed …", "Initial Bid Letter emailed to contractors: …", "'Notice to Proceed' emailed to …", "APPROVAL LETTER: Printed.", "Status changed manually to: …", portal-import review items ▸ C-4).
  2. Showing: All Entries / Showing: Manual Entries Only — click the toggle to hide the automated entries when you want to read just the human notes.
  3. Double-click a message to open it in full; the print icon prints the log for the file. 📷 C20-01 ✅ covered by C08-00a.

Part B — Adding a comment

  1. Type in Report Comments and save; the date and your name are stamped. Keep comments factual — they print on the file report and are read by auditors.
  2. Editing an existing entry is limited to administrators (Edit [btnEdit] highlights the row being edited); ordinary users add a correcting entry instead. Delete asks "Continue delete?" and is audited.

Watch-outs

  • Automated entries can't be switched off per project — the agency-wide switch is in Settings (▸ B-4); hide them with the toggle instead.
  • Duplicate automatic entries (the same letter logged twice) usually mean the button was clicked twice; harmless, but tell your administrator if it happens without a second click.
  • The log is the audit trail for letters — if a letter is questioned, the log entry (date, by whom) is the record; the PDF copy is in the project folder.
