What HousingOS does with folders

When a project is created (▸ C-3 step 7) HousingOS builds a folder ‹Last name› – ‹street address› – (‹Project ID›) in the agency's Projects storage location and, inside it, the numbered subfolders defined for that program type — by default:

1 – Application · 2 – Documents · 3 – Photos · 4 – Section 106 · 5 – Work Scopes · 6 – Bidding · 7 – Construction · 8 – Lead-Based Paint · 9 – Disbursements · 10 – Correspondence · 11 – Monitoring

Documents are filed by folder key (▸ B-7): application forms → Application, contracts → Documents, letters → Correspondence, bid material → Bidding (with Contractor SOW Attachments and SOW Review Attachments inside it), SHPO → Section 106, portal uploads → Application Web Uploads ‹type›. The Staff Workroom and re-merge buttons rely on these names.

Editing the structure (Project Folder Setup)

  1. Pick the program type. The grid lists its folders: Sort order (becomes the numeric prefix), Folder name (what staff see), Folder key (routing — set on shipped rows, blank on rows you add), Description.
  2. Add a row for an agency-specific folder (e.g. 12 – Grievances); ▲ ▼ reorder; delete only folders you added. Renumbering is automatic.
  3. Changes apply to new projects. Existing project folders are not renamed — HousingOS finds legacy folders by their old names where it can (and moves the bidding attachment folders on first touch).

Storage and template locations (Program Setup)

  • STORAGE location — the shared root where project folders are created. Every workstation must resolve the same path (use a UNC path or the same mapped drive for everyone).
  • TEMPLATE location — the old copy-a-template-folder mechanism; kept for programs that still use it.

Watch-outs

  • Don't rename shipped folders with a folder key (the routing uses the key, but users and support recognise the standard names).
  • Moving the storage root = update the location here and each existing project's Project Folder path (or re-point projects one by one with the folder button). Plan it with Housing Programs.
  • Permissions — staff need modify rights on the storage root; the SHPO letter and Workroom read from it.
  • No Project Folder on a project = created without one (portal import without uploads); attach from the project's folder icon.
