B-13 · The Audit Log

Book B — Agency Administrator Guide · draft v1 (2026-08-29)

Where: Settings ▸ Audit Log (permission level 1).

What is recorded

Every edit (one row per changed field: old value → new value), every insert (full snapshot) and every delete (two-stage: snapshot, then commit when confirmed) on the project forms; plus actions — portal imports, document merges, emails sent (Graph and classic auto-send), status changes, project deletions. Each row: date/time, technician, project, table, field, old/new value, action type. Password/credential forms are excluded by design.

Using the viewer

Filter by Project, Technician, Table, Action, From/To dates and a free-text Search; Apply / Clear Filters. Select a row to see the full old/new values. Report prints the filtered result (for a grievance, an audit, or a "who changed this" question).

Typical questions it answers

  • Who changed the loan amount, and from what? — filter Project + Table ApplicationInformation, search the field.
  • Was this applicant deleted? — Action = Delete, Technician.
  • Which portal applications were imported last month, by whom? — Action = Portal Import, dates.
  • Did the approval letter go out? — Action = Document / Email on the project.

Checklist actions

Every change on a project's Application Checklist (▸ C-8a) writes a row with action type Checklist: Received, Waived, N/A, Reopen, notes, items added by hand, rows ticked off automatically from Household Composition boxes or from statements and returns on file ("Received (box ticked on Household Composition)", "Received (On file: Bank statements on file)"), and the request letter being started. Retiring or restoring an item on the Document Checklist settings page (▸ B-5a) is logged as an Edit on ChecklistItems; a bank-account merge (▸ C-6 step 6a) as an Edit on BankData with the counts moved.

Watch-outs

  • The log is append-only; nobody, including administrators, edits it.
  • Volume grows with use; the viewer's date filter keeps it responsive. Housing Programs can archive on request.
  • Automated project-log entries (Project Messages) are a different, user-facing trail (▸ C-20); the audit log is the system of record.
